Role
We are looking for an Office Manager with strong organizational and administrative skills to look after our Tallinn office and be the go-to person in all office related matters. The ideal candidate is an energetic individual who does not mind multi-tasking, is well organized and enjoys working with people and planning events.
Responsibilities:
  1. Keep the office well organised, running smoothly and efficiently
  2. Provide general administrative support to employees and managers (travel arrangements, expense tracking, reimbursements, record keeping, updating company policies etc.)
  3. Implement and maintain procedures/office administrative systems
  4. Schedule meetings and appointments
  5. Plan and organise company team events and activities
  6. Maintain a positive and welcoming office environment for employees and visitors
  7. Deal with correspondence, complaints and queries if needed
  8. Manage office budget and expenses
  9. Daily liaison with company suppliers and ensuring timely ordering of office, kitchen and cleaning supplies, work equipment and furniture
  10. Assist the organisation's HR function by keeping personnel records up to date, arranging interviews, updating company policies and so on
Requirements:
  1. Previous experience as an office manager or an administrative assistant
  2. Proficiency in MS Office (Excel, Word, Outlook etc)
  3. Excellent time management skills, ability to multi-task and prioritize work
  4. Attention to detail and problem solving skills
  5. Strong organizational and planning skills
  6. Ability to work in a fast-paced environment
  7. Excellent written and verbal communication skills in English and Estonian
  8. Communication skills in Russian will be considered as advantage
  9. Knowledge of the Estonian Employment Law is considered as an advantage
